This Privacy Policy applies to nexloomix.com, its project-enquiry and career-application forms, and related business correspondence. NexLoomix currently operates under the unregistered trading and business name “NexLoomix” in Islamabad, Pakistan. In this policy, “NexLoomix,” “we,” “us,” and “our” refer to the operator of this website.

Information we collect

Information you submit

When you submit a project enquiry or contact us by email, we may receive your name, email address, company name, company website, selected service interests, budget range, expected timeline, NDA preference, project brief, and any other information you choose to include. The website also creates a submission identifier and records timing information used to validate the form and reduce automated misuse.

When you apply for a position, we may also receive your phone number, location, role, relevant experience, employment details, salary expectation, availability, professional profile links, written application responses, and the CV or resume file you upload. We use this recruitment information only to receive, assess, administer, and respond to your application, protect the application process, and meet applicable recordkeeping obligations.

Please do not submit passwords, private keys, payment-card data, government identifiers, health information, confidential production data, or other highly sensitive information through the initial enquiry form. Selecting the NDA preference does not itself create a confidentiality agreement.

Technical information

The website’s hosting environment and service providers may automatically process ordinary request and delivery information, such as IP address, browser and device information, requested page or endpoint, date and time, security events, email metadata, and delivery status. NexLoomix uses this information only where reasonably necessary to operate, secure, diagnose, and deliver the website and its communications.

How we use information

We may use personal information to:

• receive, assess, acknowledge, and respond to project enquiries;
• communicate about requested services and arrange introductory discussions;
• prepare proposals, estimates, statements of work, contracts, or project-planning materials;
• manage an active or prospective commercial relationship;
• send transactional confirmations relating to a submitted enquiry;
• receive, assess, administer, and respond to career applications;
• prevent spam, fraud, misuse, security incidents, and technical failures;
• maintain appropriate contractual, tax, accounting, dispute-resolution, and legal records; and

Depending on the circumstances and applicable law, processing may be based on your request or consent, steps taken before entering a contract, performance of a contract, legitimate business and security interests, or compliance with legal obligations. NexLoomix does not sell or rent personal information and does not use project-enquiry data for behavioral advertising.

Service providers and disclosures

We disclose information only where needed for the purposes described above, where you direct us to do so, or where disclosure is legally required. The current website uses the following services:

Resend

Information submitted through the project or career form is transmitted through Resend for transactional email delivery. This may include your email address, name and other submitted contact or application information, message content, an attached CV or resume, email metadata, and delivery-related technical information. Resend sends the internal notification and, for project enquiries, the confirmation email; it does not create or operate NexLoomix’s receiving mailbox. See Resend’s Privacy Policy and Data Processing Addendum.

Zoho Mail

Business correspondence received at NexLoomix email addresses may be processed and stored using Zoho Mail. This includes project enquiries, career applications and attached CVs delivered to the NexLoomix mailbox, plus subsequent email correspondence. See Zoho’s Privacy Policy.

Google Fonts

The current website loads fonts from Google’s infrastructure. When a page loads, your browser may connect to Google and transmit technical request information such as your IP address, browser or device details, requested font resource, referring page, and request time. See Google’s Privacy Policy. If the website changes to locally hosted fonts, this disclosure will be reviewed and updated.

Vercel website infrastructure

The public website is built and delivered using Vercel. Vercel may process routine network, request, security, and diagnostic information required to serve the website and operate its serverless functions. See Vercel’s Privacy Notice.

As of the effective date, NexLoomix has no configured analytics platform, advertising or behavioral-tracking technology, session-replay tool, or CRM integration. Information is not forwarded to a CRM by the current production configuration.

Retention

We retain information only for as long as reasonably necessary for the relevant purpose. Maximum periods are not applied automatically to every record. Our current retention framework is:

• Unsuccessful project enquiries: typically retained for up to 24 months so we can respond, maintain context, and manage reasonable follow-up.
• Career applications: typically retained for up to 24 months to administer recruitment, consider an applicant for relevant opportunities, and maintain recruitment records, unless a shorter period is requested or a longer period is legally required.
• Active-client communications and related business records: retained for the commercial relationship and, where legally required or reasonably necessary for contractual, tax, accounting, dispute-resolution, or legal obligations, for up to 7 years afterward.
• Security, diagnostic, and server logs: typically retained for up to 90 days unless a longer period is necessary to investigate an incident, protect the website, or meet a legal obligation.
• Suppression, opt-out, and consent records: retained for as long as reasonably necessary to demonstrate or honor the relevant request or preference.

Information may be deleted or anonymized earlier, including after a verified request, where no contractual, security, regulatory, tax, accounting, legal-claims, or other lawful retention reason requires continued storage. Service providers may maintain their own backup, security, and deletion schedules under their applicable terms.

Cookies and similar technologies

NexLoomix currently does not intentionally deploy analytics, advertising, or behavioral-tracking cookies, and the website has no configured analytics platform. Essential technical storage or infrastructure behavior may still occur where required to deliver, secure, or operate the website. On the present implementation, NexLoomix does not display a cookie-consent banner because no optional cookie-based analytics or advertising technology is intentionally deployed.

Before adding Google Analytics, Meta Pixel, LinkedIn Insight Tag, HubSpot, a CRM, advertising technology, cookie-based analytics, session replay, or a similar service, NexLoomix must review this policy, its cookie disclosures, and any consent requirements.

Security

NexLoomix uses reasonable technical and organizational measures appropriate to the website’s current operation, including server-side validation, request-size limits, file extension, MIME type and file-signature validation for resumes, origin checks in production, spam controls, restricted configuration credentials, and no-store responses for form endpoints. No online transmission or storage system is completely secure, and we cannot guarantee absolute security.

International processing

NexLoomix operates from Pakistan, while infrastructure and communications providers may process information in other countries. Those countries may have different privacy laws. Where applicable, NexLoomix will consider reasonable contractual, technical, and organizational safeguards appropriate to the provider and processing activity. This policy does not claim a particular international-transfer mechanism unless it has been verified for the relevant service and use.

Your privacy rights

Depending on applicable law and your circumstances, you may request access to personal information, correction of inaccurate information, deletion, withdrawal of consent, restriction or objection to processing, or further information about how your data is handled. We may reasonably verify your identity before fulfilling a request. Rights may be subject to lawful exceptions, and some information may need to be retained for contractual, security, regulatory, tax, accounting, legal-claims, or other legally permitted reasons. Withdrawing consent does not affect processing that was lawful before withdrawal.

Children

This business website and project-enquiry form are not directed to children. If you believe a child has submitted personal information, contact us so the circumstances can be reviewed and appropriate action taken.

External links and social platforms

The website links to external repositories, research sources, and NexLoomix social profiles. Following an external link takes you to a service controlled by another organization, whose own privacy terms apply. NexLoomix does not receive information from those platforms merely because a footer link is displayed, although the platform may process information after you visit it.

Changes to this policy

We may update this policy when the website, service providers, business structure, or legal requirements change. Material changes will be published on this page, and the effective date will be updated. If NexLoomix incorporates or begins operating through a registered legal entity, the operator details above will be revised.
